Reservation Guidelines
|
The Kingwood College
food service operation has exclusive rights to
cater all events booked in Kingwood College facilities.
However, catering is not available on an unlimited,
on-demand basis. Kingwood College reserves the
right to decline catering reservations during
holiday periods, special observance days, or times
the cafeteria is scheduled to be closed. Outside
organizations may continue to reserve Kingwood
College facilities during the dates indicated
and can arrange food service through non-college
sources.

| During fiscal year 2003-2004 catering
bookings will not be accepted on the following dates.

unless the reservation is on a blackout
date.

Kingwood College reserves the
right to decline catering reservations during
holiday
periods, special observance
days, or times the cafeteria is scheduled
to be closed.

Reservation Timelines
|
- Catering events should be booked as far in advance
as possible.
- Minimum booking time is one week
for service of 25 persons or more.
- A three-day
minimum is required for catering reservations
for less than 25 persons.
- Special circumstances,
short notice requests (less than 24 hours notice)
will be honored
only if
sufficient supplies and staff are on hand
to support the request.
- Last minute requests
requiring special food preparation cannot be
accepted. College
departments needing
last minute catering may purchase quantities
of prepared food items and submit a budget
code.
- Due to limited food service staff,
Kingwood College departments may be asked to
come to the KC Café and
pick up caterings scheduled between 10:30
and 1:30 p.m.

Catering Capacities
and Limitations
|
- Formal seated dinners with glass dining ware
are limited to 75 persons.
- Full entree buffet
service with disposable dining ware can be served
for as many as 100 persons
in the SFA cafeteria and commons area.
- Box lunches
and snack food caterings can be served to larger
groups if outdoor areas are
utilized
or multiple areas of the facility are reserved.
- Catering reservations will not be accepted if
the number to be served or the amount of
food
to be prepared exceeds the capacity of the
Kingwood College food service staff.
- The
food service manager is responsible for determining
the food service operation's
ability
to fulfill
specific catering requests.

Cancellation and
Fee Schedule Information
|
- Catering customers are obligated to pay based
on reservation information. Leftovers or unused
food items cannot be returned for credit due to
health department regulations.
- Reservation numbers
are considered firm seven business days prior
to the event.
- Cancellations made more than ten
business days prior to an event will incur no
penalty. Cancellations
six to ten business days prior to the event
will be assessed a 25% penalty. Cancellations
one to
five business days prior to an event will
be assessed a 50% penalty.
- Penalties are based
on total quoted cost.
- A deposit equal to 50%
of the total cost of the catering event is due
seven business
days prior
to the event if the total cost of the
event is $500 or greater. The 50% deposit requirement
does
not apply to catering reservations made
by Kingwood College departments.
- Additional
service fees will be charged for catering events
which require the
use of glass
serving
ware and/or wait staff.

Weekend and After-Hour
Caterings
|
- A $100 minimum is required for all weekend catering
reservations that require food service staff to
be on site for the catering event.
- Weekend caterings
for recitals and fine arts related events will
not be held to the $100 minimum if
food service staff are not required to be on
site Fine Arts student assistants will pick up
previously
prepared food and drink from the kitchen and
set it up for the event.
- Overtimes charges average
$5 per hour per food service staff member required
to work the catering
event.
